Booking Terms & Conditions

Prior to securing your travel arrangements with Limny Travel, we strongly encourage you to meticulously read and thoroughly comprehend the precise terms and conditions that govern your specific reservation. For the vast majority of our expeditions, your booking will be confirmed directly through our internal channels, in which case our comprehensive Standard Booking Conditions—along with any associated Special Conditions that may apply to your particular itinerary—will take precedence and form the basis of our mutual agreement.

1. Booking and Payment
  • Standard Payment Deadline: The total tour cost must be received and cleared in our bank account no later than 30 calendar days before the scheduled tour start date (local Cambodia time). If the 30th day falls on a weekend or Cambodian public holiday, payment must be made on the preceding business day. Bookings are only confirmed once funds have cleared; provisional holds are not permitted.
  • Late Bookings (within 30 days): For reservations made fewer than 30 days before departure, the full amount is due immediately at the time of booking. Your reservation will not be processed until payment is successfully authorized.
  • Accepted Currencies: All prices are quoted and must be settled in United States Dollars (USD). For local cash payments, we accept USD banknotes (issued after 2006, crisp, unmarked, and without tears) or Cambodian Riel (KHR) at the official daily exchange rate set by the National Bank of Cambodia on the day of payment.

Payment Methods & Fees:

  • Bank Transfer (Wire): Please use your booking reference number as the payment description. You are responsible for all intermediary and international transfer fees—ensure you select "OUR" (sender pays all charges) to avoid a shortfall. Transfers take 2–5 business days; your booking date is based on when we receive cleared funds.
  • Credit/Debit Cards (Visa, Mastercard): Payments are processed through our secure online gateway. A non-refundable 2.8% processing fee applies to all card transactions (this covers our merchant provider costs).
  • American Express: Accepted with a 4% surcharge; please contact us directly to arrange this.
  • Cash on Arrival: Available only for bookings confirmed more than 30 days in advance. You must notify us in writing at least 14 days before departure if you choose this method. Cash must be paid in exact USD bills (we cannot guarantee change) to your tour guide at the meeting point on the morning of departure.
  • Confirmation: Within 24 business hours of successful payment, you will receive a digital tax invoice and an official voucher via email. Please verify all passenger names, dates, and pick-up locations immediately—errors must be reported within 48 hours.
2. Cancellation Policy (By Traveler)

All cancellations must be submitted in writing via email to our reservations team. The cancellation date is the date we receive your written request. Refund tiers are calculated based on the total tour cost (excluding non-refundable card processing fees):

  • More than 15 days before departure: 100% refund of the tour price (minus any unrecoverable bank transfer fees or card surcharges already incurred by us).
  • 7 to 15 days before departure: 50% refund of the total tour price.
  • Less than 7 days before departure (or no-show): 0% refund – the booking is non-refundable.
  • Refund Processing Time: Approved refunds will be processed within 14 business days and issued strictly to the original payment method (e.g., credit card refunds may take an additional 3–5 business days to appear on your statement).
3. Tour Change Or Cancellations By Us (Limny Travel)
  • Itinerary Adjustments: We reserve the right to modify the tour route, order of visits, or transport methods if necessary due to operational requirements (e.g., temple closure days, road works, or unexpected crowd control). We will inform you as soon as possible and aim to substitute any changed site with one of equal or greater value.
  • Force Majeure & Unforeseen Circumstances:If we must cancel a tour entirely due to circumstances beyond our reasonable control (including but not limited to: extreme flooding/monsoon storms, political unrest, sudden government restrictions, pandemics, or airport/road closures), we will offer you either:
    • a) A full refund of all monies paid to us (excluding third-party non-recoverable costs if already incurred), or
    • b) An alternative tour date or comparable substitute tour. If you reject the alternative, the full refund option will apply.
  • Notification: We will notify you of any cancellation by us no later than 7 days prior to departure (unless the event is sudden, in which case we will contact you immediately).
4. Traveler Responsibility (Documents & Personal Safety)
  • Passport & Visa: You are solely responsible for possessing a valid passport with at least 6 months’ remaining validity beyond your intended departure date from Cambodia. Most nationalities require a tourist visa (e-Visa or Visa on Arrival). We recommend applying for the official Cambodian e-Visa at least 1 week in advance. We are not liable for denied entry, deportation, or missed tour days resulting from invalid or missing travel documents.
  • Health Entry Requirements: You must check current health entry rules for Cambodia (e.g., vaccination certificates) via official government sources before travel.
  • Personal Belongings: You are responsible for your personal property at all times. While our vehicles have storage compartments, we strongly advise against leaving valuables unattended. We are not liable for theft, loss, or damage to luggage, cameras, phones, or other personal items.
  • Limitation of Liability: To the maximum extent permitted by law, our total aggregate liability to you for any claim arising out of or relating to this tour is limited to the total tour price paid by you. We are not responsible for indirect, incidental, or consequential damages.
5.  Health, Fitness & Special Requirements
  • Physical Fitness Level: Our standard tours involve walking over uneven temple stairs, climbing steep stone steps (e.g., Angkor Wat's upper terrace), and exposure to tropical heat (30–38°C / 85–100°F). You should be capable of walking continuously for 2–3 hours over uneven terrain and managing up to 4–5 flights of stairs without assistance.
  • Disclosure of Conditions: You must inform us in writing at the time of booking if you have any pre-existing medical conditions (e.g., heart conditions, severe asthma, mobility limitations, epilepsy, severe allergies, or pregnancy). Failure to disclose such conditions may result in our inability to accommodate you, and no refund will be given if you are unable to complete the tour.
  • Dietary Needs: Vegetarian, vegan, gluten-free, and halal meal requests are available but must be requested at least 7 days before departure to ensure our restaurant partners can prepare them.
6. Price Changes and Surcharges

We strive to honour published prices; however, we reserve the right to adjust tour prices before your final payment due date (i.e., 30 days prior) if:

  • The USD/KHR exchange rate fluctuates by more than 5% from the rate used at the time of our original quotation; or
  • The Cambodian government introduces new entrance fees, taxes, or VAT charges that were not in effect at the time of your booking.
  • Price Lock: Once your full payment has been received and cleared, the price is locked – no additional surcharges will be applied after that point, regardless of further fluctuations.
  • Communication: Any price adjustment will be sent to you via email with a breakdown of the change, and you will have 7 days to either accept the change or cancel with a full refund.
7. Travel Insurance (Strongly Recommended)

We require all travelers to obtain comprehensive international travel insurance prior to departure. At a minimum, your policy must cover:

  • Trip cancellation or interruption (minimum coverage: $5,000 USD).
  • Emergency medical expenses and hospital evacuation (minimum coverage: $50,000 USD).
  • Loss, theft, or damage to baggage and personal effects.
  • 24-hour emergency assistance hotline.

You are responsible for understanding your policy's deductibles and exclusions. We reserve the right to ask for proof of insurance at the start of the tour. If you choose to travel without adequate coverage, you assume all financial risks for medical emergencies or last-minute changes.

8. Privacy Policy and Data Use
  • Your personal information (name, contact details, passport number, dietary needs, and medical disclosures) is collected solely for the purpose of arranging your tour—including booking accommodations, ground transport, activity providers, and complying with local tourism registration requirements.
  • We will not share, sell, or rent your data to third-party marketers. We may share necessary details (e.g., dietary restrictions, passport numbers for temple permits) with our vetted local partners (hotels, guides, transport companies) strictly on a need-to-know basis.
  • Your data is stored securely for a period of 3 years after your tour concludes, after which it is anonymized or deleted. You may request access to, correction of, or deletion of your data by emailing us at any time.
9. Complaints & Dispute Resolution
  • On-the-Spot Reporting: If you are dissatisfied with any aspect of the tour (e.g., hotel condition, meal quality, guide service), please notify your tour guide immediately – not at the end of the day. We empower our guides to resolve most issues (upgrades, alternative routes, etc.) in real time.
  • Formal Written Complaint: For issues that cannot be resolved on-site, you must submit a formal complaint in writing (via email to [Insert Customer Service Email] ) within 14 calendar days after the tour's conclusion. Complaints received after this period will not be considered. Please include your booking reference, detailed description, and any supporting photos or correspondence.
  • Governing Law: These terms are governed by the laws of the Kingdom of Cambodia. Any unresolved disputes shall first be attempted to be resolved through amicable negotiation; if that fails, disputes shall be submitted to the competent courts of Siem Reap, Cambodia.
10.​ Acceptance of Terms
  • By making a booking request (whether online, via email, or in person) and paying any deposit or full amount, you acknowledge that you have read, understood, and unconditionally accept all of the above booking conditions.
  • If any provision of these terms is found to be unenforceable, the remainder shall remain in full force and effect.
  • These terms supersede all prior verbal or written communications. No variation to these terms is valid unless agreed by us in writing.
